Responsibilities:
- Assisting in maintaining internal and external communication flows, managing stakeholder contact lists, and keeping records of committee meetings.
- Organizing and maintaining official correspondence records of the secretariat, both in soft and hard copies.
- Assisting in handling requests and proposals from external stakeholders and routing them to the appropriate resource within the Secretariat team.
- Supporting event coordination efforts, including setup, branding, printing, and logistical arrangements in collaboration with the Industry Engagement & Brands team.
- Managing logistical details for committee-related events and activities, both online and offline.
- Drafting and processing official correspondence, including government letters, reports, and newsletters. Follow-up with the relevant stakeholder as and when required.
- Managing P@SHA’s official communication channels, responding to queries, and directing them to relevant departments as needed.
- Coordinate diplomatic, government and corporate brands communication for advocacy, partnerships, and industry collaboration.
- Ensuring proper documentation of minutes of meetings and tracking follow-ups for various initiatives.
- Providing general administrative support to the Secretariat team and assisting in tasks that enhance P@SHA’s engagement with industry stakeholders.
- Assist in preparing presentations, reports, and briefing materials for the Chairman, Secretary General, and Committee members.
- Keep an up-to-date database of committee members, stakeholders, and government contacts.
- Ensure timely execution of tasks and initiatives, maintaining confidentiality and professionalism.
- Serve as a key support resource to the Secretary General (SG), Chairman and Central Executive Committee in managing their schedules, communications, and official correspondence.
Skills Required:
- Good intellectual analytical ability to summarise and synthesize complex discussions for conversation to key action items and take aways.
- Understand working of the association, chamber, government bodies, and respective processes.
- Exceptional organizational skills and attention to detail.
- Understanding of IT & ITES industry and market conditions will be preferred.
- Proficiency with softwares such as Microsoft Excel, Outlook and Word for maintenance of records, database and organizational communication.
- Excellent verbal and written communication skills.
- Prior working experience of any association / chamber will be preferred.
Education/Eligibility:
- Atleast 5 years of experience in project coordination or committee support role.
- Bachelor’s degree in public administration, project management, or a related field.
